We are looking for one of our clients, for a Personal Assistant - Office Manager to join their team in Hamilius - Luxembourg.   • Direct support to the Executive Chairman/CEO and Executive Committee Members, managing daily administration, calendar coordination, travel arrangements, project coordination, presentations, and communications.
  • Acting as a spokesperson for the Executive Chairman/CEO and Executive Committee Members when required.
  • Making administrative decisions and representing the executives in their absence.
  • Managing a high-volume travel schedule efficiently.
  • Handling correspondence, drafting letters and documents, analyzing information, and initiating telecommunications.
  • Coordinating projects, tracking timelines and strategies, and providing progress updates.
  • Maintaining records, preparing, and distributing meeting minutes.
  • Preparing meeting rooms, coordinating schedules, and welcoming customers and clients.
  • Providing administrative support to the team.
  • Fulfilling duties related to office management and receptionist responsibilities.
  • Excellent written and verbal communication skills in French, and English (proficiency in additional languages is advantageous).
  • Flexibility and adaptability to changing priorities.
  • Strong organizational skills and attention to detail.
  • Proficiency in IT tools, especially MS Office suite.
  • Ability to interact professionally with high-profile individuals and executives.
  • Excellent analytical skills.
  • Positive attitude, integrity, honesty, and a team player mentality.
  • 5 years of experience in a similar role.
  • Bachelor’s degree.
