- Responsibility for the document management/post process i.e. all courier and post deliveries to/from the Luxembourg ROCS team, as is required by the laws of Luxembourg and Funds register of shareholders at the Registered Office.
- Ensure that all post and documentation received at the registered office is opened and logged on the central post register in a timely manner.
- Scan the content of all correspondence received by SS&C on behalf of Funds and where necessary, take appropriate action in relation to such correspondence, including bringing such correspondence to the attention of and forwarding such to the directors of the Fund.
- Periodically, co-ordinate with relevant teams and plan/organise for these documents to be stored offsite to a long term storage facility.
- Ensuring a full annual diarization and calendar of all board meetings, written resolutions etc. is maintained for the Luxembourg ROCs client base (and SARL entity Board Meetings)
- Work with the ROCS team to arrange personnel to attend meetings of the board of directors of Funds or investors (either in person or by teleconference) and where necessary assist with the set up for recording the minutes of such meetings
- Assist with maintaining a record of ad-hoc transactional activities associated with each Fund Board.
- In advance of meetings, monitor and maintain overall appearance of the office including commons areas (meeting rooms, Board Meeting conference rooms, tea points, etc)
- Strong communication skills, both written and verbal
- Individual drive and initiative as well as ability to work well within a team
- Very personable, and demonstrates high integrity, flexibility, and ability to work well at an international company
- Strong service orientation for both staff and clients / prospects
- Excellent and proven organizational skills – will need to juggle a lot of tasks
- Good attention to detail and ability to prioritize and manage workload autonomously
- Good analytical skills and ability to prepare summary reports
- Experience of dealing with and maximizing service from internal/external suppliers
